GamiFIN 2021 info for attendees
Dear GamiFIN 2021 PARTICIPANT,
Thank you for attending online GamiFIN 2021! The conference is fast approaching and our team is working tirelessly to make it an unforgettable event! You can find the updated program for the event here: https://gamifinconference.com/program-2021.
TECHNICAL DETAILS:
The conference will be held through two main channels and the direct links to each session will be sent to you in the beginning of next week. These sessions will be hosted through:
– Zoom (https://zoom.us/download – Zoom Client for Meetings), which is a video conferencing software and will be used for all the presentations.
– Discord (https://discordapp.com/download), which is a group-chatting platform that we will use for coordination, networking and social events.
Please download and set up both as soon as you can – they are necessary for all attendees as any and all future information will be distributed through Discord. Both are free and also available as applications for mobile phones.
The main sessions (including the doctoral consortium, the workshop, the industry panel, keynote speeches, paper sessions and the poster lighting session) will be hosted through Zoom. Additionally the main sessions (excluding the doctoral consortium and our workshop) will be available through a stream, and later as a recording, through YouTube Live. This will also act as a backup for attendees in different time zones or with unstable internet connection. Please keep in mind that all sessions will be recorded and the recordings will be made available for registered participants of the conference. They should not be further distributed.
You can get familiar with and test out all the Zoom features you will need beforehand. These are:
- Joining a Zoom meeting room
- Muting/unmuting yourself (and testing whether your microphone works)
- Turning your camera on and off (and testing whether your camera works)
- Changing the background in your camera view
- Sharing your screen
- Opening the Participants list, and
- Sending a “hand raise”
You can test these out in a permanent room set up for this purpose. Open Zoom, click on “Join”, and enter the following meeting ID: 643-576-7859. The password is “GamiFIN” (without the quotation marks). Please be aware that we expect all the presenters to be familiar with the platform as we do not have any extra time between the presentations.
SOCIALIZING AND GAMIFIN 2021 GAMING NIGHTS
For networking and chatting outside the sessions of the conference, and for social activities in the evening, we will be using Discord. It will also be the main channel of communications in case there are any issues with other tech during the conference, so please make sure you join the GamiFIN2021 Discord channel. Please use your full name and read through the “read-me” channel before starting to use Discord.
For the evenings after the conference, we will be organising some GamiFIN Gaming Nights for socializing, networking and having some fun! This will also be coordinated through Discord and more details will be given after each day.

ALL PAPER, POSTER & DOCTORAL CONSORTIUM PRESENTERS:
We ask you to present your paper/poster live through the Zoom, instead of pre-recorded materials. This just allows further interaction during the conference.
Please also make sure to send to the organisers the materials for your presentation at least one day before your presentation is scheduled to take place. You will be able to present from your own screen, but we like to have the materials as a backup, in case there are any issues with your video during your presentation. We ask you to keep the following things in mind when preparing your presentation:
- Please prepare your presentation using common file types (PowerPoint or similar) that can be opened with ease.
- If your presentation contains links or external material, make sure they are available and working.
- We strongly advise to use only common fonts (i.e. Times New Roman, Arial, or Calibri, or OS standard fonts) to minimize any visual errors in your slides.
PAPER PRESENTATIONS: Paper sessions will be hosted through Zoom, and discussion will also be done in Zoom. If participants have any problems with Zoom, they may use the YouTube Live stream and comments from YouTube chat will also be relayed to the presenters. The Chair of the session will take questions from Zoom and YouTube stream and facilitate the discussion after the presentation. After the end of the session further discussion is also encouraged in Discord.
POSTER LIGHTNING SESSIONS: All posters will be made available on dedicated channels on Discord and can be seen throughout the conference. During the Poster Lightning Session presenters will all have 5 minutes to present their posters on Zoom and further discussion will be facilitated on dedicated discord chats.
DOCTORAL CONSORTIUM: The doctoral consortium is hosted for accepted students only and will be hosted by Juho Hamari, Kristian Kiili and Mattia Thibault. Each student will be able to present their work and gain feedback for their work from the mentors. There will also be a dedicated Discord chat for doctoral consortium students and mentors throughout the conference.More detailed instructions will be sent out to doctoral consortium students in the following days.
